To maintain an accurate theoretical count of your Batches, it is essential to inform the system every time you add to a batch. This depletes the ingredients that go into the batch and adds to the in-stock count on the batch.
If you haven't created a Batch, please see the article titled Creating Prep Items and Batches. Once your batch is created on the platform, adding to it is a straightforward process. Watch the video below for a walkthrough, or see the step-by-step instructions below:
- Navigate to Inventory > Prep Items & Batches
- Locate your batch in the list and click the plus sign at the far right
- Tell the system how much of the batch you made.
If the batch is counted by Serving, enter the number of Servings made, using the blue header for guidance if needed. For weight or volume counts, you can choose to add by weight, volume, or Serving.Utilize the "Batch Qty (CU)" field to specify the quantity of the batch you are producing. This indicates the total number of count units for the batch that you have just created. - Click Save to add to your batch.
Out-of-Stock Error
Adding to a batch depletes all the ingredients from your inventory, which may lead to negative depletions if any ingredients are out of stock. If this occurs, a red error will appear on the Add to Batch window.
If you confirm that the information is accurate, you can proceed to override this error by scrolling to the bottom and clicking "Confirm." However, please be aware that doing so will lead to negative depletions for the specified items.
*Note*: To allow negative depletions for batch items, ensure the "Allow Negative Transfers" permission is toggled on. To find this permission, click "Your Name" in the top right corner, then navigate to Store Settings > Store Info, and scroll to "Allow Negative Transfers."
Override Yield
The Override Yield toggle allows you to indicate that the yield from this instance differs from the normal amount, despite using the same ingredients.
For Example: If you prepare a recipe with ingredients for 4 quarts but only yield 3.5 quarts, you can toggle on Override Yield and enter the Actual Prep Yield. The system will deplete ingredients for 4 quarts, but only 3.5 quarts will be added to your In Stock amount. This may occur in recipes where reduction or aeration, like in ice cream, affects the final yield.
