Full Audits close system periods by counting all items in the building and are recommended at least monthly. Partial Audits, which do not close periods, involve counting specific items across all storage areas to update their In Stock Amount.
Overview
Within Craftable your inventory is entered as an Audit. When you open a New Audit you have the option to select whether you're doing a Full Audit or a Partial Audit. Full Audits close periods on the system, and are when you count all the items in the building. It is recommended you do a Full Audit at least once a month. Partial Audits do not close periods on the system, and are when you count just specific items, but you must count them in every storage area they exist in, as this partial audit will update the In Stock Amount for any items that are counted.
What are Partial Audits For?
Partial Audits are very useful for updating your In Stock Amount before large events (e.g. counting specific beers and whiskey both before and after a St Patrick's Day event), or for getting more frequent counts on your high value items (e.g. counting proteins every week and counting your other items once a month).
When you start a Partial Audit all items start with a dash (-) for their count, this means the item is Uncounted. Any items you leave as uncounted will not have their In Stock Amount updated and the system will continue to calculate this value based on the last count that was entered for the item in a previous audit. Once you do enter a count for an item on a Partial Audit that item is viewed as Counted, and you should enter the count for that item in any other storage areas it's in, as this partial audit will update the In Stock Amount for the item.
Changing a Partial Audit to a Full Audit
If you accidentally selected "Partial Audit" but ended up counting all of your items, please contact the Craftable Support Team on support@craftable.com to request in writing that the audit is changed from a Partial to a Full. This will change the status of the Audit so that it will close a Period on the system, and any item that was still left as Uncounted (with a "-" for the count), will be updated to a 0.
On Hold Storage
Please note that if you're using a storage area called "On Hold" (which holds over the count of items from the last audit), this is incompatible with Partial Audits.
